How do I communicate with my Virtual Assistant?
We communicate with our clients in a variety of ways including phone, email, Skype, Zoom, Slack and project management software such as Asana and Trello. It’s really up to you as to what method you prefer, your VA can tailor communication methods to meet your needs.
What are your hours?
Our core working hours are UK business hours Monday-Friday 9am-5pm GMT, though we can offer flexible hours outside of these times for urgent tasks, just ask.
What forms of payment do you accept?
All payments are processed through our third party provider, Stripe, who process all recurring payments on our behalf. Your payment is taken on the same date each month, so if you sign-up on the 5th, the payment will be taken on the 5th of each month going forward. Any additional hours you used are billed to you at the end of that month, with these invoices also payable upon receipt.
We can also accept payment by bank transfer, international wire transfer or debit/credit card
Are your plans flexible?
We offer prepaid monthly retainer packages,
the more hours you purchase, the more you save (per hour).
I just signed up! What happens next?
Welcome aboard! We will begin by matching you to your dedicated Assistant using the information you shared when you signed up and after listening carefully about your business and requirements. Then once everything is agreed and the paperwork is signed off, you will be invited to schedule your complimentary launch meeting. We will share a project
management tool where you can upload documents, post comments and best of all, see the progress of all tasks assigned. You can start submitting tasks the same day you sign up. MAGIC.
What experience do your Virtual Assistants have? As well as working virtually all our Assistants also have spent many years working as in-house Senior EA’s and bring with them a wealth of experience and knowledge
Do I get a dedicated Virtual Assistant?
Yes, you will be assigned a dedicated virtual professional with the skills and personality to be a perfect fit for you and your business.
Where are your Virtual Assistant’s located?
We are a fully UK based team.
Will you sign a confidentiality agreement?
Absolutely, this is an essential part of our Service Agreement. It protects both you and us and benefits all parties.
Can you provide someone to cover when my Virtual Assistant is away?
Yes, we provide back up when your Assistant is on holiday or if they’re sick – we won’t leave you stranded!
What is your cancellation policy?
We’d be sad to see you go, though in the unlikely event you would like to cancel we offer our clients a fully stress free cancellation process. Just give us one months notice (prior to your next billing cycle) by contacting us and the cancellation will then go into effect at the end of your following monthly plan. We are unable to issue a refund for any unused time on your chosen plan between the date the cancellation was requested through to the last day of that month.
How does my Virtual Assistant track time?
Our Assistants track their time using online tracking software, which accurately records the time spent on a task right down to the second.
Will my VA be working during public holidays?
All our Assistants observe the UK public holidays and will not be working during these periods.
Can I provide my Virtual Assistant with a dedicated company email address?
Absolutely, yes! This way your Virtual Assistant can easily communicate on your behalf and as an integral part of your team.
